Optimization Consulting for Existing QuickBooks® Users Research has demonstrated that, on average, businesses use only about 20% of the QuickBooks® program. The main reason for this is that there are applications available that aren’t needed. For example, inventory isn’t an application that an architect would use, nor is payroll for a company that uses an outside payroll service. However, in many cases, the user simply isn’t aware of applications or features available that would not only be very useful, but can actually save him money. Many times, we have seen credit cards entered as bills instead of setting up the credit card as a bank account and entering the credit card charges, then reconciling it on a monthly basis. The problem with the former method is that the expenses aren’t recognized as expenses until the bill is paid. If the entire credit card isn’t paid in full at the end of every month, this distorts your actual profit and loss picture and can result in your paying additional income taxes because the credit card charges aren't appearing as expenses to be deducted on your income tax return. Another common error we have seen is using invoices instead of statements. The worst case we observed was with an appraisal company. Instead of making individual invoices for large banks who ordered multiple appraisals, then issuing a statement at the end of the month with all the unpaid invoices reflected, they created a single invoice and listed all of the appraisals on it. Not only did this eliminate the ability to track individual appraisal invoices, but when the bank paid from the invoices given to them by the appraiser instead of the invoice issued by the bookkeeper, there was no way to track the payments except manually. After we set them up correctly, their accounts receivable went from 90+ days to within 30 days because the banks didn’t have to spend hours figuring out which invoices had already been paid and which ones had not, a task they put off doing as long as possible.
